How We Digitized a Client’s Attendance Tracking System

In early 2022, our client’s German-based parent company decided to implement a unified attendance tracking system across all global branches. The solution relied on chip cards and attendance terminals, allowing real-time, centralized access to employee data.

At the time, the Slovak branch employed about 20 people and tracked attendance manually using MS Excel spreadsheets. This process was not only time-consuming but also prone to human error and ambiguity, especially in recording absences.
 

Transitioning to Digital Attendance: Step by Step

To ensure error-free and efficient payroll processing, we developed a multi-phase implementation plan:
 
Team Training on the New System
We organized training sessions to introduce chip cards and terminals and taught the team how to use the new system effectively.
 
Legislative and Technical Alignment
We worked closely with the software providers to adapt the system to Slovak regulations and resolve any data entry issues.
 
System Configuration
We built a complete employee database, set up employment contracts, leave balances, attendance codes, and monthly reporting outputs integrated with payroll software.
 
Parallel Processing for Accuracy
During the transition, we ran both the old and new systems simultaneously to validate report accuracy and identify discrepancies before fully switching over.
 
Data Review and Error Correction
We manually reviewed entries and corrected attendance records where chip cards were not used, especially for senior staff.
 
Ongoing Monthly Support
We provided ad-hoc support for payroll-related issues, including employee onboarding/offboarding and new absence types.
 

Results of the Collaboration

Through close cooperation with the client, we implemented a modern, centralized attendance tracking system that:
  • Relieved the client of time-consuming manual data entry in Excel
  • Reduced errors and disputes in tracking absences
  • Gave the parent company in Germany a unified view of their Slovak operations and real-time control and compliance with labor laws
